📋 First-Day Assistant Checklist
🧳 Before You Arrive
- Wear comfortable shoes and weather-appropriate clothes (you’ll be moving!)
- Bring a hat, water bottle, and sunscreen for outdoor meets
- Fully charge your phone (and maybe bring a portable charger)
- Know the meet location and call time (text your supervisor if you’re unsure)
🏟️ When You Arrive
- Check in with your lead (Timer or Coordinator)
- Ask what role you’ll be helping with today
- Find the timer tent, restrooms, and athlete staging area
- Help with any remaining setup tasks (tent, tables, signs, cable covers, etc.)
- Arrange clipboards for Clerk/Check-in/Stager/Field events
🎯 Roles You Might Be Assigned
- Clipboard Helper: Write down relavent information, changes, and questions that may come up
- Start Line Assistant: Call out heats, help organize runners
- Result Runner: Deliver results, checking on field events for completed sheets
- Backup Timing: Either managing the backup computer and camera, or help confirm names/hip numbers for the main timer
- Field Event Support: Typing in Field Events into RunMeet, collecting and organizing completed field event sheets
- Floater: Be ready to jump in where needed — ask “What can I do?”
🔁 Throughout the Day
- Stay close to your assigned area unless told otherwise
- Don’t be afraid to ask questions or double-check
- Stay off your phone unless you’re using it for meet tasks
- Communicate clearly with timers, athletes, and coaches
- Stay hydrated and alert — don’t hesitate to ask for a break
- Stay organized: keep your completed sheets organized, write down coaches questions, make sure you note important details "Which event, heat, lane, athletes involved?, etc"
🧹 After the Meet
- Help with cleanup (fold tables, collect signs, pack bins)
- Return any radios, clipboards, or borrowed gear
- Check in before leaving to say you're done
- Clock out using the Monday.com App.
