1. Welcome to the Team, Assistant!

You're joining us as a Meet Assistant — a vital role that keeps the meet moving, organized, and smooth. You might not be handling the cameras, but trust us: we can’t run these meets without people like you.

🎯 What You’ll Be Doing

Your job will vary based on the meet and the team, but here are some common roles you’ll help with:

  • Clipboard Duty: Following along with the schedule, collecting field event sheets, writing notes and changes down for easy access for Timer
  • People Wrangling: Making sure kids are in the right spot at the right time, noting changes and making sure that information is relayed to the Timer (DNS/FS/changes to heats)
  • Results Support: Assisting with entering field results, printing results, or fixing mistakes and errors on RunMeet
  • Timer Support: Helping timers set up equipment, and paying attention to the events to help the timer work efficiently, answering questions from coaches and volunteers
  • Race Videos: Filming or training volunteers to work the AthleticFIELD App for Race Video uploads
  • Helping with Setup/Cleanup: Tables, wires, tidying up with cable covers and tablecloths, pennant flagging, making sure the site looks clean, presentable, and professional

🛠️ What You'll Learn

Don’t worry if you’re not sure where to start — we’ve got you covered with:

  • A simple checklist of what to bring and expect
  • Quick guides on how each role works
  • Short videos showing real examples
  • A list of who to go to for help when you're unsure
  • Common FAQs and how to handle the “What do I do next?” moment

🌱 Why This Matters

Most of our timers and leaders started as assistants just like you. If you’re curious, coachable, and show initiative — we’ll teach you more every week.
