9. Timer Training - Field Events
Field Event Procedures for Timers
Field events require good prep, organized materials, and proper delegation. Assistants and volunteers can play a major role in speeding up entry and keeping data accurate.
1. Printing Field Sheets
- Copies to Print:
- 1 clipboard per event(default).
- 2 clipboards if separating pits.
- 2 copies if recording wind.
- Extra copies if splitting vertical/horizontal flights or for backup.
- Printing Tips:
- Always include competitor numbers.
- Landscape orientation = verticals (HJ, PV).
- Portrait orientation = horizontals/throws (LJ, TJ, SP, DT, JT).
2. Clipboard Setup
- Attach printed sheets to clipboards, sorted by event order and gender order.
- Add notes/highlight for anything special that the officials may need to know.
- Make sure each clipboard has a pencil.
3. Tablet & Backup Setup
- Option A: Paper Only
- Clipboards collected → entered into RunMeet Field Events on a backup computer.
- Option B: Tablets
- Use admin.athletic.live to set up tablets. Create Events, Configure each Event, Sync to App.
- Load the codes from admin.athletic.live onto tablets.
- Verify Wi-Fi/Cell Service and battery.
- Gather volunteers and do a quick 2 minute demo on how to check-in athletes, enter marks, erase marks, make changes, record videos, create finals, and provide your phone number in case of questions.
- Always keep collect a hardcopy of results after the conclusion of the event.
4. Using Assistants & Volunteers
- Assign volunteers at each pit:
- Clipboard handler (writes down marks).
- Tablet operator (direct entry into admin.athletic.live).
- Assistants in the timing tent:
- Enter paper results into RunMeet Field.
- Monitor incoming tablet data on AthleticLIVE, noting any stops or issues.
- Keep a communication line open with pit volunteers if clarification is needed. (Walkie talkies or walking around to the events to make sure things are running smoothly)
- Best Practice: Pair a tech-comfortable volunteer with tablets, and a detail-oriented assistant for paper entry backup.
5. During Event Monitoring
- Timer or assistant should check in early with field officials/volunteers.
- Confirm they know:
- Which sheet/tablet belongs to their pit.
- How to record or input marks.
- Spot check data (paper/tablet) when it comes in.
6. Wrapping Up Field Events
- Collect all clipboards, sheets, and tablets at event end.
- Assistants/volunteers:
- Double-check all sheets are accounted for.
- Ensure tablets are returned.
- Enter any missing marks into RunMeet Field.
- Finalize each event so results push to AthleticLIVE/RunMeet/AthleticNET.
